AI Practice Workshop · on your own tasks

  1. 01

    Preparation

    Your tasks

Preparatory call, questionnaire and tech check

  2. 02

    Practice day

    Your tool

One day: set up your own routines and check results

  3. 03

    Follow-up

    Your daily work

Short guide and a personal one-to-one session

Format 1 · AI Practice Workshop

Your leaders work with AI themselves, on the tasks they handle every week.

Leaders do not need to code. They should know what they can delegate to AI and where they have to check for themselves.

Whether a vendor overpromises, a pilot is realistic or a ban is needed is hard to judge without having experienced what AI does today and where it fails. So this day starts with your own work: each person tries out which tasks they can hand to AI and sets up the matching routine.

What you try out on your own tasks

  • Good prompts

Turn three offers into a decision paper with comparison, recommendation and open risks.

  • Standing context

Record metric definitions, report format and taboos once instead of explaining them in every chat.

  • Connectors

Prepare a customer conversation from mail history, the last minutes and the open offer.

  • Skills

“Comment on monthly variance”: compares actuals, plan and prior year and writes the comment in your format.

  • Agents and long tasks

Have three possible suppliers compared with a table, an assessment and sources while you do something else.

  • Schedules

Every Monday at 7: key appointments, open points from last week’s mail and industry news on one page.

Which features your tool offers for this is settled in the preparatory call and the tech check. The exercises are matched to it.

Before

  • Preparatory call: tool, participants, existing rules, permitted documents
  • Questionnaire (about 15 minutes): the two or three tasks that cost the most time each week
  • Tech check (about 30 minutes) with your IT: accounts and features

The day

  • Foundations: good prompt, standing rules, skills, connectors, agents, schedules
  • Focus: your own use cases in your own tool, with Stefan and Alexander at your side
  • No rigid agenda: emphasis follows prior knowledge and questionnaire

Afterwards

  • Short guide with templates within one week, separate for each person and editable
  • One-to-one session (1 hour by video) per person, about a week later
  • Refine together: what has worked, where it sticks, which building block comes next

Prerequisite

A business account for a shared AI tool for each person, such as ChatGPT, Claude, Microsoft 365 Copilot or Gemini, with a data processing agreement, and a laptop. If access is missing, we clarify in the preparatory call what is needed first. Everything stays in your own accounts. Our live examples use public or synthetic data.

Format 2 · AI Adoption Management Workshop

The leadership team decides together where AI matters and where it starts.

Stefan Hofmayr drawing a process on the whiteboard and circling the bottleneck, Alexander Krauck explaining at the table to five managers

What the day looks like

Why this workshop

Leadership doesn’t need to code, but it needs to be able to decide.

In many companies AI is happening in three places at once: staff use private accounts, IT trials licences, and individual departments launch pilots. What is missing is a shared picture in the leadership team, and a prioritisation that weighs value, data and risk together.

That is what this day delivers. Stefan brings the perspective of management, controlling and operational excellence; Alexander the technical reality of models, data and integrations. You get both, without anything lost in translation.

Who it’s for

Executive leadership

who are accountable for AI investments and don’t want to decide on gut feeling.

Operational leadership

from plant, operations, sales, purchasing or customer service, who know where things really get stuck.

IT & digital

who need to judge feasibility, data readiness and operation realistically.

Agenda

One day in six steps.

Sample agenda. We adapt the focus to your situation in the preparatory call.

  1. 09:00

    Where do we really stand?

A quick inventory: what AI use already exists, official and unofficial? Where are licences, pilots and policies? Placed on a maturity model that rates normal operations, not intentions.

  2. 10:00

    What AI does today, live

No hype slides. Using examples from your own context we show what current models, agents and connected company data can do today, and where they reliably fail.

  3. 11:30

    Surface the bottlenecks

Together with operational leadership: where do you lose time, margin or decision quality? Processes, recurring decisions, knowledge tasks, indirect functions.

  4. 13:30

    Set the guardrails

Which data may go into which tool? What do GDPR, the AI Act and works-council law actually require? Where are the red lines, and where are bans unnecessary?

  5. 14:30

    Prioritise

Candidates are scored on value, feasibility, data readiness and risk. The result: three initiatives worth doing, and a deliberate list of what you will not do now.

  6. 16:00

    Next step

The most important initiative gets a one-page brief: question, owners, data, metric, acceptance criteria. You decide if, when and with whom to start.

What you take away

Results you can work with the next morning.

  • Shared situation picture

Where your current AI use and maturity stand, agreed within the leadership team.

  • Prioritised initiative map

All candidates with value, feasibility, data readiness and risk, transparently scored.

  • Brief for the top initiative

Question, ownership, data sources, metric and acceptance criteria on one page.

  • Draft guardrails

Data traffic light and tool tiers as the basis for your AI policy.

  • Written summary

Within one week: results, recommendations and open items.

  • And then?

You deliver it yourselves, or we support the first initiative, for example as a Decision Sprint.

FAQ

About the workshop

How many participants make sense?
In the management workshop six to twelve people from executive leadership, operational leadership and IT, so that decision authority and process knowledge are in the same room. In the AI Practice Workshop up to four people from executive and operational leadership.
How do we prepare?
We hold a preparatory call and send a questionnaire. For the management workshop that is about ten questions; for the practice workshop about 15 minutes per person plus a tech check with your IT. We prepare examples and exercises from your answers.
On site or online?
The workshop day takes place on site, at your premises or in a seminar room you book nearby. The one-to-one sessions after the practice workshop are held by video.
What does the workshop cost?
The workshop is a fixed-price format. The quote depends on the number of participants, location and preparation; we give you a binding price in the discovery call.
Do we have to commission an initiative afterwards?
No. The workshop stands on its own. Many teams run the first initiative themselves; the brief is designed for exactly that.

Next step

Is the workshop right for your leadership team?

We can find out in 30 minutes. You describe the situation, we tell you honestly whether a workshop is the right starting point, or something else.
